Clarifying questions must be received by Pew by October 12, 2026. Pew will respond to all questions no later than October 23, 2026. 

Quotes must be received by October 30, 2026. 

Quotes must include a validity period of 120 days from the submission date.

Pew expects to have an agreement in place with the selected Respondent by January 2027, and if possible, earlier.

PROGRAM COORDINATOR

The One Oceania program coordinator brings experience in community organizing and coalition building, a deep respect for Indigenous knowledge systems and values, and a commitment to collaborative movement building. They have lived and/or professional experience in the Pacific and understand the diverse cultural, political, and social contexts of Oceania, with a demonstrated ability to build trusted relationships across Pacific Island countries and territories. Success in this role will depend as much on relationship-building, trust, and cultural awareness as on strong organizational and project coordination skills. 

Desired Qualifications

·  Demonstrated experience coordinating partnerships, coalitions, and/or networks involving diverse stakeholders.

·  Excellent organizational and project coordination skills, with the ability to manage multiple priorities in a fast-paced environment.

·  Experience supporting grants, fundraising, budgeting, and/or donor reporting is an advantage.

·  Comfortable working remotely and coordinating across multiple time zones.

·  Experience with Google Workspace, WhatsApp, and other collaborative digital tools.

·  Strong written and verbal communication skills in English; proficiency in one or more Pacific languages is an asset.

·  Experience living and/or working in the Pacific.

·  Experience working alongside Indigenous communities, organizations, or leaders in ways that reflect respect, reciprocity, and cultural humility.

Key Responsibilities

Core Responsibilities

·  Coordinates program and operations development, which includes the development and implementation of foundational governance structures, operational systems, programming and strategy for the emerging network. Key responsibilities include: support the development of internal protocols that guide collaboration, communications, participation, and accountability across the network; assist in creating systems and processes that support transparent and inclusive decision-making; develop and maintain operational documents, including governance charters, terms of reference, workflows, and internal guidance materials; support strategic planning and cross-working group coordination to ensure alignment on coalition priorities and objectives.

·  Engages and maintains relationships with individuals, organizations, and institutions to cultivate a strategic and effective Pacific-wide network that advances priorities. Key responsibilities include: effective and timely internal communications with all members, including in WhatsApp channels, emails, and regular phone calls with partners to serve as day-to-day point of contact.

·  Coordinates recurring virtual leadership and advisory meetings across multiple Pacific time zones and with partners globally. Key responsibilities include: scheduling meetings, communicating with participants, invitations & reminders, preparing agendas & materials, organizing logistics, minute taking, meeting report, follow-up action, and active meeting participation;

·  Coordinates in-person strategy meetings and supports participation in regional and international events. Key responsibilities include: agenda and meeting materials development, event logistics, travel coordination, researching event priorities and intended outcomes, and preparing leadership and working group members for successful participation.

·  Maintains partnership’s organizational databases. Key responsibilities include: maintaining, updating, and developing systems for important, routine organization and files including Google Drive folders, key master documents, WhatsApp channel tools.

Supplementary Responsibilities

·  Assists with partnership finances and fundraising as needed. Key responsibilities include: Program budget tracking and filing expense reports, grant reporting, supporting fundraising as needed;

·  Manages external communications tools as needed, including website and social media. Key responsibilities include: creating and maintaining website content, updating social media, and supporting other communications collateral at critical moments;

This consultant will support the work of One Oceania and will work directly with the One Oceania Executive Director. Due to current funding and administrative arrangements, the consultant will be contracted and report to The Pew Charitable Trusts, which will manage consultant onboarding, contracting, invoicing, and payment processes. Programmatic direction, priorities, and deliverables will be established by One Oceania.
